Scope and who is responsible

This Privacy Policy explains how Sietch (“Sietch,” “we,” “us,” or “our”) processes personal data when you use the Sietch website, organizer dashboard, player pages, booking tools, The League, community Store, notifications, and related support services (the “Service”).

Sports organizations using Sietch (“Organizers”) also decide how they run their communities and use player information. An Organizer may therefore have its own responsibilities and privacy practices in addition to this Policy. Questions about a particular session, team, roster, or Store transaction should first be raised with the relevant Organizer; questions about the platform can be sent to support@sietchsports.com.

We process personal data in accordance with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173), its implementing rules, and other applicable law.

Information we collect

Player and account information

For verified players, we may collect name, email address, phone number, date of birth, optional gender, authentication identifiers, and profile details. For basketball, those profile details may include position, secondary position, height, and jersey number.

Guest and group information

Guest registrations may include a name, optional contact number, booking identifier, attendance status, and sport details supplied by the person making the booking. Guest records are not linked to a verified Sietch account unless they are later matched to one.

Bookings, attendance, and rewards

We record sessions joined, party members, waitlist position, vouchers, discounts, cancellations, payment-at-venue status, attendance, no-shows for verified players, games attended, and free-session credits.

League information

Organizers may add athlete names, photos, teams, roster memberships, jersey numbers, positions, height, game appearances, scores, box-score statistics, season totals, and awards. League athletes may be linked to an existing verified player profile.

Store, sponsor, and community activity

We associate Store favorites with verified player accounts. Recently viewed item IDs remain in local storage on the device. Organizers may record offline Store sale details such as item, size, quantity, price, and date, but those records do not include payment card, bank, or e-wallet credentials. Sponsor reporting records the sponsor, page, and time of a view or click without attaching that event to a player profile.

Organizer, plan, and billing information

For Organizers, we process account and organization details, brand assets, contact and venue information, plan assignments, session counts, monthly statements, payment status, and manually recorded payment references or notes. Plan payments are made outside the platform; Sietch does not collect an Organizer’s GCash, bank, or card credentials.

Communications and support

If you contact us or request a demo, we receive the details you provide, which may include your name, email address, organization or league name, sport, and message. These details are delivered to our support inbox so we can respond.

Device, security, and diagnostic information

We may process IP address, browser and device details, timestamps, requested pages, authentication cookies, rate-limit records, logs, and error or performance context. If you enable push notifications, we store the subscription endpoint and encryption keys supplied by your browser or device.

How and why we use information

We use personal data to:

  • create and maintain player, Organizer, and authentication records;
  • process bookings, groups, waitlists, attendance, cancellations, vouchers, and rewards;
  • operate seasons, rosters, live scoring, standings, player statistics, profiles, and awards;
  • send confirmations, reminders, operational alerts, and support replies;
  • show Store favorites and provide inventory, sponsor, attendance, revenue, and league reporting;
  • administer plans, usage allowances, overage, statements, and manual payment reconciliation;
  • protect the Service, prevent abuse, troubleshoot errors, and improve reliability; and
  • meet legal obligations and establish, exercise, or defend legal claims.

Depending on the context, processing is based on your consent, the steps needed to provide the Service you requested, our or an Organizer’s legitimate interests in operating a safe sports community, or a legal obligation. We do not sell personal data.

Information shown publicly

Player-facing organization pages are public. A community leaderboard may show a player’s name, games attended, rank, and related performance information. Published league pages may show athlete name and photo, team, jersey number, position, height, schedule, live and final scores, box-score statistics, season totals, standings, player leaders, and awards.

Public pages can be viewed without signing in and may be copied, shared, or indexed by search engines. Organizers are responsible for having authority to publish roster and athlete information they upload. To correct or remove public information, contact the relevant Organizer or email support@sietchsports.com.

Who receives information

Organizers and authorized staff

The relevant Organizer can access player and guest names, contact information, booking and attendance details, sport attributes, league records, and operational reports needed to run its sessions and competitions. Store dashboards show inventory, recorded offline sales, and aggregate interest information.

Service providers

We use providers that support database hosting, authentication and file storage (Supabase), hosting infrastructure (Vercel), transactional email (Resend), application monitoring (Sentry), and browser push delivery. Venue location may be sent to a weather provider to retrieve game-day conditions. Providers process information only for the services they supply to us and under their own applicable terms and safeguards.

Legal, safety, and business requirements

We may disclose information when required by law or legal process, to protect users or the Service, to investigate misuse, or as part of a business reorganization where lawful and subject to appropriate safeguards.

Some providers may process data outside the Philippines. We remain accountable for personal data transferred for processing and use appropriate contractual and security measures.

Retention and deletion

We retain account, booking, attendance, league, Store, plan, and statement records for as long as reasonably needed to operate the Service, preserve community and transaction history, resolve disputes, prevent fraud, and meet legal or accounting obligations. Guest registrations remain part of the associated booking and attendance history after a session ends.

Store favorites remain until removed or the related account or item is deleted. Recently viewed items remain on the device until cleared, displaced by newer entries, or site data is removed. Short-lived security counters are periodically deleted. Provider logs and messages follow the provider’s applicable retention settings.

When deletion is requested, we will assess the request and delete, de-identify, or restrict the relevant data where required. Some information may be retained when necessary for legal, accounting, security, dispute, or legitimate record-keeping purposes. Deleting an Organizer account removes the organization’s connected records in accordance with the platform’s deletion process.

Security

We use technical and organizational measures designed to protect personal data, including encrypted connections, access controls, tenant-scoped records, server-side permissions, abuse controls, and application monitoring. No online service can guarantee absolute security. Please use a strong Organizer password and notify us promptly if you suspect unauthorized access.

Your data privacy rights

Subject to the Data Privacy Act and its lawful limitations, you may have the right to be informed, object, access your personal data, correct inaccurate data, request erasure or blocking, obtain data portability, claim damages, and file a complaint with the National Privacy Commission. A parent or legal guardian may exercise these rights for a minor.

Send a request to support@sietchsports.com. We may need to verify your identity and clarify the organization or account involved before acting. You may also review the National Privacy Commission’s data subject rights and complaint information.

Cookies, local storage, and sponsor measurement

Sietch uses essential cookies to maintain authentication and session state. We do not use third-party advertising cookies or build advertising profiles. The Store uses local browser storage to remember recently viewed item IDs separately for each sports organization.

Sponsor placements record page-level impressions and clicks so an Organizer can report how a placement performed. These event records contain the sponsor, organization, page, and time; they are not connected to a player profile and are not used for cross-site advertising.

Email and push notifications

We send service communications such as authentication links, booking confirmations, waitlist changes, reminders, cancellations, attendance updates, and Organizer alerts. Push notifications are optional and can be disabled in the Service or device settings. Essential account or booking emails may still be sent when needed to provide the Service.

Minors

Grassroots sports communities may include players under 18. A minor should use the Service with the involvement and permission of a parent or legal guardian. Organizers must obtain any permissions required before collecting, uploading, or publicly displaying a minor’s profile, photograph, roster details, or performance information.

Parents and legal guardians may contact the relevant Organizer or support@sietchsports.com to review, correct, or request removal of a minor’s information. We will apply child-appropriate privacy protections and consider the best interests of the child when handling those requests.

Changes and contact

We may update this Policy as the Service or applicable requirements change. We will post the revised Policy, update the effective date, and provide additional notice when a change is material and notice is required.
